Allow payments greater than the client's pending balance

This setting lets you choose whether charges or payments are allowed for an amount greater than the client's pending balance, creating a credit balance that can be used for future sales or pending payments, depending on what fits your company's operation best.


You can access this setting by going to:


Settings → General → Advanced settings


Scroll down to look for the setting called Allow payments greater than the client's pending balance.




How does it work?


🔴 When the setting is disabled


If this setting is disabled, Handy checks if the total for the payment is greater than the client's pending balance.


If the user tries to select a greater amount, the system won't allow them to save the payment, and it will ask them to enter another amount.
This helps you maintain greater control of payments and avoid mistakes.


Example -
A client with a pending balance of: $1,250


  • ✅ Payment for $1,250 → Allowed
  • ✅ Payment for $1,000 → Allowed
  • ❌ Payment for $1,500 → Not allowed



🟢 When the setting is enabled


When this setting is enabled, the system will allow the user to register a payment that's greater than the client's pending balance.


The difference between the pending balance and the paid amount is registered as a credit balance in favor of the client, which could be used later to pay for sales or other pending payments.


Example -
A client with a pending balance of: $800


✅ Registered payment for: $1,200


Result:

  • The pending $800 is liquidated
  • The $400 leftover is registered as a credit balance in favor of the client (- 400)



Suggestions

Enable this setting if your operation allows for clients to make advance payments or to have a credit balance for future purchases.
Keep this setting disabled if you want users to only create payments for the pending balances registered in the system and avoid generating credit balances.



Important: Before enabling this option, ensure your payment process can handle the management and reconciliation of credit balances, as users will be able to register payments that exceed a client's current debt.
