Exporting orders and deliveries

Learn how the process of exporting an order as an Excel file works, including new status messages and what to expect when exporting large amounts of information.


The exporting of Orders starts in the Orders screen by selecting the desired date range and any other filters you need, then pressing the Download button.





Status messages during the exporting process

When you start exporting a file, the system will show different status messages so you can see how the exporting process advances.


1. The file is being processed

This is the first message you'll see. It indicates that the export has started and the data is being processed by the system.



2. Number of orders being exported

Moments after you'll be informed about how many orders are being exported, according to the filters you selected.



3. The file is ready to be downloaded

Finally, you'll see a message indicating that the file is ready to be downloaded.




Which file will I receive?

This depends on the number of entries generated in each export.


💡 One entry in Excel represents one product inside an order, not a full order. For example, an order with 5 products will generate 5 entries.


  • Less than 100,000 entries â†’ a single Excel file will be created, and it will be ready to be downloaded directly.
  • More than 100,000 entries â†’ a ZIP file will be created, containing multiple Excel files, each one with a maximum of 100,000 entries.


For example, an export with 6.6 million entries will generate a ZIP with 66 Excel files, each one containing 100,000 rows.




Wait time

As some companies work with a large volume of orders, it's possible to select a very broad range of dates, and the exporting job can take several minutes to complete. For very large exports (for example, a full year of orders on a company working with very large volumes), the process can take up to 40 minutes.




Frequently asked questions


Why is the exporting process taking so long? How much time it takes depends on how many Orders are included and how broad the date range is. The broader the filters selected and the larger the company is, the longer it will take to generate the file.


Why did I receive a ZIP instead of an Excel file? Because your export generated more than 100,000 entries (products inside an order). To keep the files manageable, Handy automatically divides them into several Excel files inside the ZIP.


Does this work the same when exporting Deliveries? Yes, the exporting process works the same way for deliveries, with the same status messages, a limit of 100,000 entries, and the creation of a ZIP when applicable.
